Job Overview: BEAM Minerals seeks a remote Marketing Project Manager to develop project plans, support marketing leadership, and manage cross-functional teams. This role involves scheduling, team coordination, and utilizing project management tools. The Marketing Project Manager will oversee collaborations, provide strategic support, and ensure high-quality content delivery.

Project Planning: Develop project plans in collaboration with project owners and teams.

Marketing Leadership Support: Support marketing leadership in management across projects to ensure that current projects can be executed on time and within scope. Responsible for moving marketing projects and initiatives forward effectively.

Team Management: Coordinate internal teams and if needed, third parties/vendors for execution of projects. Serve as a central point of contact for project team communications. Assist project team with determining who is accountable, who must be informed, and who will be consulted for different aspects of the projects. Provides focus and direction to keep projects moving forward.

Marketing Strategy Support: Work closely with the marketing leadership to provide strategy implementation support. Assist marketing leadership by providing cross-project visibility of priorities.

Meeting Management: Schedule and coordinate meetings with project teams, including sending calendar invitations, setting up virtual meeting sessions, creating agendas, recording the meetings, taking notes, and sending reminders and follow-ups after meetings.

Project Systems Development: Develop and utilize project management systems and solutions like ClickUp and/or Airtable to track project progress, update statuses, and communicate effectively with all project stakeholders.

Content Storage Management: Manage Google Shared drive so that assets are available to all marketing shareholders as needed to facilitate projects. Ensure finalized content is stored and organized in an efficient manner. Maintain communication with the marketing team and necessary parties as new content becomes available.

Continued Education: Dedicate time to ongoing professional development and continuous learning as required to stay informed of industry trends and advancements in marketing and project management methodologies.

Collaborations Program Oversight:

Organizational Project Leadership: Provide oversight and accountability on Collaborations Program team activities. Ensuring that communications and deliverables align with timelines and editorial calendar.

Feedback: Offer constructive feedback and support in areas needing improvement for the collaborations program.

Resource Allocation: Ensure the collaborations program and team members have all necessary resources and tools to effectively manage their tasks. This might include access to software, collaboration tools, and adequate information from other team members.

Deadline Management: Regularly review deadlines set for collaborators and deliverables and adjust timelines as necessary to ensure timely delivery of materials to collaborators and adherence to the editorial calendar.

Quality Assurance: Ensure the content and communications for the collaborations program meet the brand’s quality standards. This may involve reviewing messages or materials prepared by the collaborations team.

UGC Communications Management: Act as the main point of contact between content creators and the brand for User Generated Content initiatives.

Briefing and Guideline Communication: Deliver the creative brief to creators, explain the guidelines clearly, and ensure understanding.

Contract Execution and Payment: Facilitate the execution of creator contracts and coordinate with Operations to ensure payment is made to the creator based on contract terms.

Follow-Up on Deliverables: Keep track of deliverables' progress and timelines, ensuring creators meet deadlines.

Receiving and Organizing Content: Collect and organize content submissions, preparing them for review and approval by the Creative Director.

Feedback Communication: Relay any necessary feedback or edits back to creators promptly and clearly.

Record Keeping: Maintain accurate records of all UGC activities in a project management tool like ClickUp, ensuring all communications and submissions are logged and traceable.

Qualifications

Experience: Proven experience as a project manager or a similar role in project management, preferably in a marketing, healthcare, wellness or related environment.

Technical Skills: Proficiency with project management software (e.g., MS Project, Asana, Trello, ClickUp, Airtable), Excel, Google Suite, etc. Ability to learn new software or applications quickly.
